Include the Event Schedule When Requesting School Property Documentation

A school property request may arrive with an address and a preferred day while omitting the event calendar. Athletics, arrivals, dismissals and public use can affect whether the requested documentation is practical. Provide relevant site activity early so the operator can review the proposal without relying on an assumption that an open outdoor area is empty.

Describe activity without sharing student information

Identify the areas used, the approximate activity windows and the authorized school contact. A general event schedule is usually more useful to this planning question than names, individual attendance records or private student details. Explain which areas are expected to remain active. Do not promise that all people can be excluded unless the authorized site owner has actually confirmed that arrangement.

Leave the operational determination to the operator

FAA operations-over-people requirements remain applicable to proposed flights. Property permission does not by itself establish that a particular operation is allowed. Ask the operator what additional site information is needed and whether the requested date, area or format should change. A customer’s preferred time or a quiet-looking photograph is not an operational approval.

Confirm the limited appointment instruction

Keep the accepted area, time window and coordinating contact with the final scope. If the school calendar changes, notify the provider through the established project channel before the visit. The provider may need to reassess the arrangement. This planning brief supports documentation scheduling; it does not establish flight procedures, grant airspace access or promise that every requested view will be obtainable.

Worked example

Illustrative example: a school requests exterior documentation on a Saturday that also hosts a tournament. The facilities contact supplies area-use windows without student information. The operator reviews whether a different time or scope is appropriate. The appointment is confirmed only after that review, rather than treating permission to enter the grounds as permission for every proposed flight.
