What to Request When a Building Model Must Exclude Occupied Rooms
A building record may need to omit an occupied room, private workspace or restricted area. Define that boundary before collection and explain what the resulting model will leave unresolved. A visually complete presentation should never imply complete physical access.
Agree on the excluded area
Use a room or asset reference that the project team can recognize without collecting unnecessary personal information. Distinguish an entirely excluded room from an area where only selected views are allowed. Ask who has authority to set the boundary and how access questions will be handled during collection. A general appointment does not establish permission to record every interior.
Make the gap understandable in the deliverable
Ask how unavailable areas will be identified in the agreed output. A blank space, cropped view or omitted room should not silently suggest that nothing relevant exists there. Record which measurements or connections cannot be confirmed because of the boundary. Do not assume that software will infer concealed dimensions accurately or that a nearby room can substitute for an excluded space.
Separate project use from wider sharing
Specify the intended recipients and the purpose of the record. Ask about the actual handling of identifiable contents and any external processing relevant to the engagement. Do not treat an internal documentation request as permission for public marketing or unrelated training. If the excluded area later becomes important, arrange an authorized scope discussion rather than quietly changing the original collection boundary.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.
| Field | Your note |
|---|---|
| Excluded room or asset reference | ____________________ |
| Who sets the access boundary | ____________________ |
| Allowed versus prohibited views | ____________________ |
| Effect on measurements and completeness | ____________________ |
| Intended recipients and purpose | ____________________ |
Worked example
Illustrative example: a fictional office requests a model while one occupied workroom remains excluded. The output identifies the gap and its measurement limits. Later readers can use the accessible-area record without assuming that the closed room was scanned, empty or suitable for a proposed alteration.
